Event Guidelines

  1. Please make sure you attend the board meeting prior to your event so that everyone will be informed of your plans and support needs.
  2. Turn in your Plan of Action to the Executive board member sponsor two weeks prior to your event.
  3. Other school organizations may want to participate in your event. Please see the attached Guidelines for Groups Participating in PTA Events ( i.e., Melody Makers or Relay for Life) for more detailed information.  If there are any questions/discussions regarding group participation please refer them to the President.
  4. Meet with Brian Thompson (brian.thompson@cobbk12.org) to have event displayed on marquee and arrangements for custodians and layout of cafeteria and which rooms will be used.
              -  For after hours events custodians must be hired at $100 each person.  Please
keep this in mind for budgeting purposes.
              -  You will need to submit a detailed list and drawing of the layout of the school to
Brian (custodian) one week prior to the event.
  5. Email Beth Tovi (elisabeth.tovi@cobbk12.org) and Melissa Atkins (melissa.atkins@cobbk12.org) for announcements on KSTV.
  6. If using classrooms for an event you must get the teacher’s approval first. You can send requests through an email to our PTA teacher rep, Cindy Sukloff. Make sure that you put everything back the way it was before leaving (might want to take a picture before you start moving things).
  7. Keep in mind we have a cotton candy and popcorn machine.  These are great for generating extra funds at the events.  If you plan on using these machines please check for available supplies prior to purchasing new/additional items.  If you use the last of these supplies, PLEASE make sure you let the President know.  You will always need to purchase sugar for the cotton candy machine.
  8. There is a helium tank in the PTA closet for our events.  PLEASE remember to close the valve after you use it.  If you use the last of the balloons please replace them for the next event.  If the tank is empty please notify the President.
  9. Never prop open the outside doors to the school.  These are on a timer and security system so it is important that the door is not propped open.
